In India, deals don't close over email — they close on WhatsApp. But between the official API's rules and a market full of shady "bulk WhatsApp" tools, most sales teams either under-use it or risk getting their number banned. Here's what's actually allowed, and the automation that genuinely converts.
First: the three WhatsApps
- Personal WhatsApp — for chacha ji, not for business automation. Automating it violates terms and risks bans.
- WhatsApp Business app — fine for a one-person shop; no real automation, one phone.
- WhatsApp Business API — the official, automatable channel. Needs a provider (Meta BSP), works with your CRM, supports multiple agents on one number. This is what serious sales teams use.
The two rules that decide everything
- The 24-hour window: when a customer messages you, you can reply freely for 24 hours. After that, you may only send pre-approved template messages until they reply again.
- Opt-in: you may only initiate conversations with people who consented — a lead form submission, an enquiry, a checkbox. Bought databases = bans, and Meta's ban hammer in 2026 is fast.
Templates that get approved (and ones that don't)
Meta approves useful, specific templates and rejects spammy ones. Works: "Hi {name}, thanks for your enquiry about {project}. Here's the brochure. When can we schedule your site visit?" Gets rejected/flagged: "50% OFF!! Limited time!!!" blasted to a cold list. Write templates like a helpful human, get approved in hours.
The sequences that actually convert (from our CRM builds)
- Speed-to-lead (the big one): lead arrives from IndiaMART/Facebook → automated WhatsApp reply within 60 seconds with brochure + question. Replying in the first 5 minutes multiplies conversion; most Indian SMEs take 4+ hours.
- Follow-up ladder: Day 0 instant reply → Day 1 value message (photos, price list) → Day 3 nudge → Day 7 final check-in. Sequence stops automatically the moment the lead replies — a human takes over.
- Site-visit reminders: booked visits get an automated reminder the evening before and morning of. No-shows drop by roughly half.
- Payment/document nudges: gentle template reminders for pending payments beat awkward phone calls.
What we build into custom CRMs
Our CRM builds treat WhatsApp as a first-class channel: every lead's full WhatsApp history on their timeline, templates fired by pipeline stage, and broadcast campaigns only to opted-in, segmented lists — automation that helps salespeople, never replaces them mid-conversation.
FAQ
What does the WhatsApp Business API cost?
Meta bills per conversation (marketing conversations cost more than utility ones — roughly ₹0.35–₹0.99 range in India depending on category), plus your BSP's fee. A typical SME sales team spends ₹2,000–₹8,000/month — usually recovered by the first extra deal.
Can automation get our number banned?
Official API + real opt-ins + approved templates = safe. Bans hit unofficial bulk tools and bought lists.
